How To Upload Scanned Images to Version 8

You can now scan documents and upload them into a patient's chart in Version 8 of the ICANotes program.

An instructional video is in the Video section of the website, www.icanotes.com, and a link to a more comprehensive instructional document will soon be available. Meanwhile, the following instructions should suffice to get you started. The process is pretty easy and self explanatory.

Step 1: Scan your document and save it on your desktop

Your scanning software will ask you what format to scan in. JPEG and PNG formats both work with ICANotes. PNG images are smaller (use less memory) and smaller images scan and upload faster, so PNG is the format we recommend.

We have found that 100 dpi creates legible documents, so that setting is also recommended.

In general, the smaller the image (in terms of storage or memory space, not physical dimensions) the faster the whole process is, so when faced with other setting choices, please use the setting that creates the smallest image. For example, for most images the setting for Black and White or Text is best (as opposed to, say, gray scale or color).

Step 2. Using your browser, go to upload.icanotes.com

Log in using your ICANotes username and password.

Step 3. Find the patient into whose record you want to put the scanned document. You can type the name and push the "Go" button or you can use the alphabetic ranges. When you have located the correct chart, click on the name.

Step 4. To find the scanned image you wish to upload into this patient's chart use the browse button and navigate to the image(s) you scanned. When all the images have been found be sure and write a description for each image. The description should be brief as it will become the name of the image.

Notice the box, "Allow group to view." It is checked by default and means that other clinicians in your group and others with permission to view the chart will be able to see this uploaded document. If the document needs special confidentiality uncheck the box.

Then, push the "Upload" button. Your scanned image will be stored in the patient's chart.

Step 6. To view the image from within the patient's chart, go to the patient's Chart Face and use the tab, "Scanned Documents".

Include Medical History in Complete Note

There is a box on PN 2 titled "Include Medical Hx in complete note." Previously, by default, that box was checked and therefore the medical history was included in the progress note ( unless you unchecked that box.)

Now, however, by default that box is unchecked and your medical history will not be included in your progress note, unless you take a moment and check that box.

Once the box has been checked subsequent notes will contain the checked box, so subsequent notes will automatically contain the medical history.

This change was made because a majority of users preferred that the medical history not be included in each note.

Unique Number on Prescriptions

A unique number has been added to each prescription, to meet the increasingly stringent security standards of more and more states.

This number is, as noted, unique but it may not be consecutive. That is, if you write two prescriptions just a few seconds apart each will be numbered but the numbers may not be consecutive.
